Open the booking...
Double Click on the Search Result to open the
booking which requires modification. The expanded
form of the booking will appear.
Edit the booking...
All bookings can be edited with a couple of exceptions:
1. Cancelled bookings can not be edited (but you
can UnCancel a booking and then edit it). 2. Archived
bookings (bookings that has been exported to the
accounting system) can not be edited at all -
this is to ensure that numbers are the same in
accounting system and reservation system.
Cancel the booking...
Any booking can be cancelled unless it has been
archived. Click on the Cancel button on the bottom
of the form. The Cancellation form will appear.
Cancellation reason and agent reference are compulsory
fields. After clicking OK on the Cancellation
form, the whole booking will close. If you refresh
the search result Listview now, you will see that
the booking has turned red. When opening a cancelled
booking, a yellow note will advise you that this
booking is cancelled and can not be changed.
Audit Trail and Diaries...
Any changes that a user makes to a booking will
be recorded in a audit trail. Clicking on the
audit trail button on the bottom of the form will
list a full history for this booking. Clicking
on any audit trail item will give more details
of the change.
Diary notes can
be added for a booking, organisation or person.
Click on the diary button to view existing diary
notes for this booking and to add new diary entries.
Check availability for a tour...
Click on the calculator button at the bottom
of the booking form to open a range of availability
for the this particular tours. Default date range
is 7 days. A message will appear on the right
hand column of the availability screen if the
availability has been set to zero.
Screen prints and Detailed prints....
The two icons next to the calculator allow you
to print the reservation either as a detailed
report or as a screen shot. This will print on
the default printer for each users PC.
Add comments...
Notes added in the general comments area will
appear on tour and pickup manifests. Standard
comments can be setup in a quickpicks box and
select out of the combo under the comments field.
Voucher comments shows on the vouchers. If you
do not add voucher comments to the booking, the
default voucher comment for the tour will be used.
Add options...
Options are associated with tours in the tour
maintenance. They have their own seperate pricing
and can be non-commissionable. Option manifests
are part of the standard reporting.
