Setting up a basic tour...

Open Tour Maintenance

 

Click on Edit/Add Tours in the side menu to open the Tour list view.



Working with the Tour Listview...

The tour listview lets you quickly search for specific tours, packages, bus routes and accommodation. When you type into the search box, you can search by Tour Code, Tour Name or Operator. Click on the column headers of the listview to sort by a specific column in ascending order. Click again to sort descending.

You can add a new daytour, package, busroute, accommodation or pickup location using the buttons on the top of the listview.

Clicking on the tour will open tour maintenance screen for that tour. Right clicking on a tour will give you direct access to a sub-form without having to go through the main tour maintenance screen. Find out more about Tour Maintenance


The Tour Maintenance screen...

 

The tour maintenance screen is the heart of the reservation system. Your reservation system will only work best if you plan and configure your tours well.

General - You must have at least a tourcode, tour name, operator and financial owner. Try to use as legible tourcodes as possible ...ie try to make them relevant to the tour so they can be easily remembered. Adding a tour to a tour category will allow more specific reporting as well as breaking up the availability screen. Find out more on Working with Tour Maintenance.

Operator Notification - If you are booking other operators tours, you can send automatic notifications to that operator when you book their tour. Check the operators preferred method of notification.

Price Matrix - You can choose how complex the price matrix needs to be by selecting Price Matrix Type. Find out more about Setting the price matrix.


BUTTONS on the bottom of the Tour Maintenance Screen:

Resources...

Resources control the availability of your tours. The resource max pax can be set for specific days, dates and departure times. Setting the max no of a resource to zero will stop anyone booking the tour for the chosen date range. You can also add a message to the availability range which will pop up when making a booking with this tour code.

Allotments...

Allotments lets you reserve seats for specific agents for this particular tour code. Allotment can be set for days and date range. When making a booking, the res staff can choose if the booking is allotment booking by checking the allotment booking checkbox in the reservation screen. More about allotments


Price Matrix...

Prices can be configured specifically for a date range, days, basis, subbasis and pax types. The price matrix can include cost, sell price and levies. Before you can setup the price matrix, you must select a price matrix type and create basis and subbasis items for this tour code. By default the most basic price matrix type is selected which is Pax type only. Pax Type Only sets the prices for specific pax types only.

Commissions...

Lets you configure specific agent commissions for this tourcode. Commissions can also be configured for a date range.

Schedule...

 

At least one departure must be defined for all Day Tours and Bus Routes. Packages and Accommodation does not have departure time. Multiple schedules can be configured for each tour or busroute. Departure schedule must be configured before resource and allotments can be set

Components...

Each Day Tour or Package can have several levels of tour codes under them to create complex packages. Go to the Package tutorial


Routes...

Multiple Bus routes can be associated with each tour code and departure time to create a specific pickup list for each tour when making a booking. Both Pickups and Dropoffs can be associated.

Just drag a Route from the righthand screen to the Pickup or DropOff item on the lefthand side. Find out more about Associating Bus Routes


Options...

 

Each tour can have specific tour options. Typical options are Breakfast, Dive, snorkelling. Options can be configured to have seperate pricing, commissioning and can be made to be non-commissionable. Find out more about the Options


Tour Maintenance Summary...

Tour Maintenance can appear to be complex but even the most complex tour setup could be made very easy when booking it. Planning the tours and their setup will make a huge difference to how well the tour books. Try to setup the tours as close to truth as possible...ie really think about how the tour works in real life and try to mimic that as much as possible in the setup.
