ResPax Enterprise is a fully internet-enabled
tour reservation system designed for
tour operators and inbound agents. It
installs and operates on a Lan network and runs
on Windows 95, Windows 98, NT Workstation, XP and
Windows 2000 operating systems. Thin client software
can also be installed on Linux and Mac using Terminal
Server type software. It is designed specifically
for day tour, accommodation and inbound bookings
and includes integrated email/fax communications
modules for confirmations, operator notifications,
an advanced tour maintenance section, rapid booking
screens, extensive reports and much more.
Commissions for agents can be configured
on a number of levels. Commission base for all tours,
commission for a specific tour, commission for a
specific tour for a date range. Commission values
can be currency or percentage. More>
Advanced bus routing
Bus routes are associated with individual
tours to show only pickups related to that specific
tour. A route can have multiple departure times
and can be reused in other tour codes. More>
Multiple tour levels
(tours under tours)
For the more complex tour setup, each
tour can be configured to have multiple levels of
tours under it. Component tours can be configured
not to show as a directly bookable tour but only
show under packages and daytours with tours under
it. Behaviour of component tours under tours can
be extensively configured.
Extensive pax database
The people database allows the
operator or agent to record detailed information
about the booking agent's individual consultants
as well as individual pax and users. The people
database can be configured to force the res staff
to pick a pax in the database when making a booking
or casually type in a name in the reservation.
Realtime credit card
authentication
Enables authentication of credit cards
within the software as a part of making a reservation.
Credit cards are normally authenticated within 5-15
seconds.Realtime credit card authentication
is available for Australian businesses only.
Self releasing allotments
Allotments can be configured for each
tour for a specific agent for a specific day and
departure time. Definable release thresholds will
automatically release the allotments. Minimum release
interval is 1 hour before departure of tour. No
upper limit.
Multiple geographical
locations
If
you have several regional offices, all you need
is a decent internet connection. No server hardware
is required in each regional office. ResPax software
installs on each Windows client on your network
using Terminal Servers type software and can access
the ResPax database over an internet connection.
By installing thin clients, multiple platforms like
Linux and Mac can also be supported.
Web booking wizard
(Optional)
Enables your travel agents to book
tours directly from your website. NetWizard fits
inside your existing website and can be completely
customised to suit your existing colour theme. NetWizard
connects directly to the ResPax reservations database.

MSDE (SQL Server) database and Faxware faxing software.

FEATURES
Rapid reservations
screens
for
day tours, accommodation, inbound packages
have been developed with the needs of phone
based reservations consultants in mind. A
typical reservation can be completed quickly
using only the keyboard. Costed tour options
such as lunch, diving, extra bed can be added
quickly to each tour. The pricing grid calculates
total costs for tour, pickup and options.
It also allows manual modification of commission
rates and discounts with appropriate user
permissions. Available pickups are generated
automatically based on tour and departure
time.
Manifest
comments can be added for on board staff and default
voucher comments can be edited for each reservation.
Payments
Payment collection has never been easier. ResPax
suggests a default payment collection but each collection
item can be modified and new payments added. ResPax
includes real time credit card authentication which
allows authentication of credit card funds within
the software. Authentication is normally returned
in 5 to 15 seconds.

Detailed
confirmation screen The reservation is ended with a detailed confirmation
screen giving a confirmation number, pax details,
pick up and tour details. Confirmations can be directly
emailed or faxed. The agent's email and fax used
in the booking will be suggested by default but
can be changed on the fly. Optionally, notification
can be sent out to the operators for this tour if
the booking is for other operators tours. Quoting
can be done on the reservation screen by making
a conventional booking and configuring it as a quote.
The quote can at a later stage be converted into
an actual reservation. The reservations screens
also supports waitlisting allowing the taking of
booking details even when fully booked. Pax contact
information such as email, phone and accommodation
details will be recorded for waitlist communication
purposes.
Tour Options Each tour can be configured with its own set
of tour options. A typical tour option would be
breakfast, diving, snorkeling, guided tour etc.
Each option has its own cost and sell pricing.
The option can be configured to be non-commissionable
or a commission structure can be applied for each
agent.
Multiple pax in a
booking Each booking can have multiple pax names ie.
if you are booking 5 adults in a booking, you can
choose between having one name for all five adults
or 5 pax names, one for each pax. The people database
can be used to source each pax name.
Detailed People Database for
pax/agent consultant/user information
ResPax supports an advanced people database in
which you can record detailed information about
users, passengers and travel agent consultants.
Optionally, each tour can be configured to force
usage of people database when taking a booking.
The database can quickly be searched in the reservation
screen and new people can quickly be added with
minimum information.
As each operator may be interested
in collecting different data about the people,
the People db has 12 customisable fields that
can be defined by the operator. Optionally these
fields can then be used on manifests and reports.

Agent commission structures The built in agent commission structure permits
an advanced configuration of commissions for each
agent. Each commission can be configured in currency
or percentage of the tour. Commissions for an
agent can be configured as:
One commission for all tours
Commission relating to a specific tour
Commission for a tour for a specific date
range
Varied commissions for pax types ie. adult
can be different from children for the same
tour.
Commission for a tour for a date range for
a specific basis/subbasis
Commissions are automatically calculated from
the commission matrix when a booking is made.
Calculated commissions can be manually overridden
if the user has permissions.
Audit trail and Diary
All changes to bookings are recorded in an audit
trail. The audit trail is easily accessible from
inside each booking or by using right-click on
the booking search result. The audit trail records
which fields were modified as well as time of
modification and who modified the booking.
The diary enables the operator to keep internal
calendar notes and set alerts. A diary entry can
be associated to a reservation, organisation or
individual people. The diary entry can be setup
as an alert/alarm entry to help you keep track
of prepayments and other time based duties. A
diary entry can be allocated as a specific users
responsibility and that user can be notified when
the entry is due by either email or popup screen.
Realtime availability Availability is checked as you commit a booking.
If a tour does not have any availability, the
booking can not be committed as a confirmed booking.
It can, if required, be saved as an unconfirmed
booking which does not affect the availability.
If the tour your are booking has multiple levels
of tours, availability for each individual tour
is checked.
If the booking has a hotel pickup selected, the
availability for that busroute is checked. Availability
for a booking can be controlled via either package
header, component tours or busroute.... which
gives the operator a high level of flexibility
in configuring each tour.

Advanced bus
routing
Each tour in a booking can have both a pickup
location and a dropoff location associated with
it. Pickup times and dropoff times are derived
from the bus route setup and clearly displayed
in the booking. Only pickups and dropoffs in busroutes
associated with a particular tour are shown in
the pickup/drop off list. Availability checking
can be applied to each bus route in bus route
maintenance.
Email/fax Notifications
ResPax supports email and optionally fax notifications
to external operators. A tour can be configured
to have an external operator. Notification preferences
(fax/email) can be configured for each tour. When
committing a booking, notification are automatically
generated and queued in a notification list. After
committing a booking with tours with operator notifications,
the user will be prompted to send out the notifications.
Notifications are also raised for modification and
cancellation of a booking.

reports
All reports can be emailed, printed, previewed
and optionally faxed from multiple areas in the
software. On committing a new booking, the res
staff can optionally send out confirmations, vouchers,
itineraries and notifications as part of completing

Searching and finding bookings Bookings can be found quickly using a criteria
such as confirmation number, tour code, travel
date range, voucher no, external operator reference,
agent code, booked date range and pax name.
The search result list view lets
you quickly sort and and access bookings directly.
The listview also supports a number of direct
commands using right-click without having to open
the booking. Typical direct commands are sending
fax/email notifications, vouchers and itineraries.
Audit trail and diary can also be access directly
from here.
Your most recent 20 search criteria
are recorded for you to access directly and the
My Bookings button returns all bookings created
by you in the last 24 hours.

Cancelling bookings Any active booking can be cancelled from within
the booking screen. When cancelling a booking, all
payments must be balanced to zero. The person cancelling
the booking must specify an agent reference and
reason for cancellation. Archived bookings cannot
be cancelled.
Quality assurance
(QA) of bookings Bookings can be QA'd by reservation staff prior
to accounts staff archiving and exporting. This
ensures highest quality of exported data and minimises
loss of payments and inaccurate exports. *

Archiving bookings Archiving of booking is supported to 'lock'
each booking or payment after it has been exported
to the accounts system. Bookings can still be
viewed and referenced but cannot be edited. In
the case of booking a package that extends for
a travel duration, individual components and payments
can be archived before the package header booking.

Tour
maintenance Friendly, easy to use tour set up screen. The
same screen handles all tour types including day
tours, accommodation, packages and adhoc packs.
A line of buttons on the bottom of the screen allows
reservation management to configure resources, price
matrices, allotments, commissions, schedules, package
components and tour options.

Agent/operator maintenance Organisation maintenance enables setup and configuration
of multiple agents, tour operators and financial
entities. Each organisation can have multiple roles
(operator/agent/fin entity). A general ledger code
assignable to each organisation for export purposes.
Credit status for each agent can be defined as Deposit
Only, Full Credit or No Credit. A popup message
can be configured for each agent to advise res staff
when they are taking bookings. An agent can be configured
to have default pickup and default payment collection.
Multiuser environment
Extensive
user management. Configurable user groups, user
passwords, user logins, permission levels to ResPax
modules, and system facilities like email/fax. Each
user can have menus individually configured.
Multiple geographical
locations
ResPax
can support multiple geographical office locations
if your servers has terminal services type software
installed. If you have several regional offices,
all you need is a decent internet connection.
No server hardware is required in each regional
office. Thin client remote desktop software would
typically be installed on each client in your
network and can access the ResPax for windows
software over an internet connection on the remote
Respax database. By introducing Terminal server
type software on your servers, multiple platforms
like Linux and Mac's can also be supported.
We recommend ADSL connection as it is the best
quality connection for the buck. This is an affordable
connection for even small businesses. If uptime
is important to your business, simply subscribe
to more than one ISP provider to create redundancy
in internet connectivity. If one connection goes
down, the second connection is available.
The multiple geographical feature allows you
to distribute the reservation system into the
most remote regional offices with a single common
respax database and reporting source. The thin
client remote desktop solutions is also tolerant
to lesser pc hardware and supports multiple platforms
including Linux, Mac and even direct desktop access
over webbrowsers.
TaskMaster server
software.
TaskMaster
software is installed and executed on the server
which handles system maintenance, faxing and emailing.
The TaskMaster machine is normally a seperate machine
to the main database. That way the TaskMaster can
also serve as secondary database/training database
in case the first machine fails.
Reporting system
Easy
to use reporting system which allows preview, print,
email and fax. Report exporting is also supported
to many standard Windows formats including PDF,
Excel, Word and more. ResPax uses Crystal Reports
8.5 as the reporting interface.

Using robust MSDE database.
ResPax
uses a Microsoft MSDE royalty-free database which
is essentially the same thing as Microsoft's SQL
server. This
database can only be installed on a Intel-based
server. Client
software is installed on each PC which connects
to the database over the LAN using OLEDB.
Interact with web NetWizard to seamlessly
integratewith your website
ResPax NetWizard is a web based, step-by-step
booking wizard for the web. It allows your agents
to book tours directly from your website. The
NetWizard supports real time availability, real
time credit card authentication and returns instant
confirmation numbers. NetWizard fits inside your
existing website and can be completely customised
to suit your existing colour theme. NetWizard
connects directly to the ResPax reservations database.
Manage webcontent
from the software.
NetWizard provides a number of web page templates.
Tour product list and product detail template are
typical examples. The content of these pages can
be controlled from the tour maintenace screen.
Export to most accounting
packages
ResPax supports an advanced export interface which
lets the operator export a number of text files
at the same time as the bookings are being archived.
Any number of text files can be defined for each
financial entity. The definition of the text file
is mostly controlled from the export settings in
maintenance but also in external queries. The queries
can be modified to suit your exact needs. *

Setting up Your Operation in Respax
and going LIVE!
Our
implementation consultants have extensive experience
with installing reservations systems into various
tour operations in Australia, New Zealand and
around the world. We offer 2 basic models to assist
you to go live with Respax in your Operation as
quickly as possible.
OPTION 1 - Complete Setup
If you need to get Respax into your operation
rapidly and have limted resources available within
your operation to setup Respax, we can setup your
tours for you. This option has the following steps
to get you Live with Respax.
Initial discussion
- One of our senior implementation consultants
will have a phone or email dicussion with key
people in your operations to get an idea of
how many tours need to be setup and what type
of tours they are. Discussions will also include
how you will manage the bookings and invoice
agents at the end of the day. We will then be
able to give you and estimate of time and cost.
Please note, that the Respax Remote Hosting
model includes a free 10-hour support block
which can be used towards this setup.
Subscribe
- You will then need to subscribe to or purchase
Respax. See Pricing Options.
We will setup your Respax database and logins
for you normally within 24-48 hours.
Setup Plan
- We will outline a setup plan for you which
you will need to approve. It is a good idea
to keep the initial tour to a minum both to
control costs but also to reduce time-to-go-live.
Tour Setup
- We will setup the tours for you. This normally
takes 5-10 days depending on our workload at
the time and how many tours we need to setup.
Tour Setup Complete
- We will demonstrate the setup for your keypeople,
take comment from them and amend the setup.
We will mutally decide on a suitable Respax
go-live date for your operation and a date to
train your key person/people.

OPTION 2 - Interactive Workshop
The interactive workshop focuses on training your
key people like res supervisors and res managers
in how to use Respax and then leaving them to
do most of the setup (guided by our implementation

to live under this option as the key people in
the operation has to make time to get both trained
and find the time to setup the tours. The upside
is that they will be more independant and trained
when they go live.

Initial Workshop
training - Online Training workshop
commences with your key people. This is normally
done in 3-4 hour sessions working directly in
your new Respax environment. Some of your tours
will be setup as part of these sessions.
Setup Period
- Your staff will work independantly to complete
the setup guided by our implementation consultants.
Normally, a few more workshop sessions are scheduled
through this setup period. How quickly this
section is completed, depends entirely on how
many resources and time you allocate to this
project.
Train Staff -
Your key people are responsible for training
your res staff.
Go Live -
Your system goes live in your operation.
Online Documentation of your Setup As part of your subscription/purchase
of Respax, we create a password-protected online
documentation environment for our consultants
to use and your key people to document all procedures
and setups. This over and above the standard online
user guides, references and howto's available
for Respax. The documentation site specifically
reflects your setups and procedures and is a very
valuable tool to see you through staff changes
and to refer to when using the Respax.
Remote Hosting
Remote reservation system hosting is offered by
Trinity Software Australia (developers of ResPax).
We use Microsoft's Terminal Services to offer
remotely hosted ResPax Enterprise reservations
systems to our clients. Terminal services enables
you to see the remote desktop screen using Remote
Desktop Connection. This software normally comes
pre-installed with later versions of Windows such
as Windows 2000 and XP.
We
will install a dedicated ResPax database
on our server, create dedicated reports
and exports directory, configure the ResPax
for Windows software and add your database
to our regular backup schedule.
Your
company does not need to purchase any specific
hardware as it is all provided by us as
part of the hosting. You can use standared
windows software (Remote Desktop Connection
RDC) to access your remote ResPax system.
The RDP client software is also available
for Mac and Linux operating systems. We
recommend that you have a good qualtiy ADSL
connection and the PC's should be capable
of resolutions up to 1024x768.
One of the biggest
advantages with Remote Hosting is
that it takes much less time to get your
reservation system ready for you to login
and start to use. The need for you to purchase
specific server hardware and perform client
software installations on all your pc's
is completely removed which greatly reduce
the installation and implementation time.
Instead, your new reservation system can
be available 24-48 hours after you have
filled in our online application.
ResPax
Enterprise licence can either be purchased outright
and installed on your servers or your reservation
system can be entirely hosted by us using Terminal
Services.
Option
1 -Licence Subscription
This is our most popular packaging of Respax
as it requires no server hardware
on your site, next to no client
software installations and is normally setup
and configured within 24-48 hours ready
for you to setup your tourcodes.
Pay a setup fee for database setup and configuration
on our servers plus a monthly subscription
fee. We install and host the database on
our servers and give you Terminal Services
access. Optionally, we can train your staff
and help with setup of your tours. Credit
card authentication setup is optional. We
charge your credit card on a monthly basis.
Once
off setup fee is AUD$ 499
Monthly
subscription is $150/named user/month
with a minimum of 3 users. *
Optional
credit card authentication setup is $200
plus 59 cents per credit card transaction
* Please note that Microsoft's
Terminal Services licensing applies to this
option. You can choose to license Per Device
or Per Named user. Per Device means that
you can have any number of users sharing
the same pc (like in a 24/7 call centre)
or Per User which means a license is assigned
to a specific named user.
Option
2 - Purchase Licence
Pay an upfront licence fee and a 20% annual
software upgrade/update fee. This option
requires installation of the ResPax software,
database and servers on your site as well
as train your staff and help you customise
your tour setup. Credit card authentication
setup is included in the licence fee. We
charge 59cents per credit card transaction
regardless of size of transaction.

REQUIREMENTS
ResPax Enterprise ideally requires 2 server class machines
not including a webserver.
The ResPax database is normally installed on a dedicated
server (Server 1). All tours and packages are configured
and managed on this database.
The Taskmaster server (Server 2) manages scheduling
and maintenance of the ResPax database. It also acts
as a standby database server and training database in
case the main database server fails. It is recommended
that the TaskMaster has exclusive use of the server
to ensure reliability.

Client PCs
Each
PC running the software should be recent Celeron or
P4 units with 512Mb RAM and able to run at least 1024x768
screen resolution for maximum productive use of the
software with a 17" screen. Each PC should
also have a reliable internet connection.
